1. Who we are

European Funding Agency is a brand operated by Zlotko Consulting Paulina Złotko, ul. Lwowska 27/13, 22-400 Zamość, Poland ("we", "us"). We are the controller of the personal data described in this policy. You can contact us about your data at any time through the contact form at europeanfundingagency.com/contact.

2. What data we collect

• Data you give us: name, email address, phone number, company name, country, role, and information about your company and project that you share in forms, the Funding Navigator, bookings, emails or calls.
• Booking and payment data: details needed to book and pay for our services. Card payments are processed by our payment provider; we do not store your card details.
• Newsletter data: your email address and, if provided, your name, when you subscribe to the Intelligence Briefing.
• Technical data: IP address, browser type, device and pages visited, collected through essential cookies and, only with your consent, analytics cookies.

3. Why we use your data and on what legal basis (GDPR)

• To answer your enquiry and prepare or deliver our services: performance of a contract or steps before entering into one (Art. 6(1)(b)).
• To send the Intelligence Briefing and other marketing emails: your consent (Art. 6(1)(a)). You can unsubscribe at any time using the link in every email.
• To issue invoices and meet accounting and tax obligations: legal obligation (Art. 6(1)(c)).
• To run and secure our website, measure its performance and defend legal claims: our legitimate interests (Art. 6(1)(f)).

4. Who we share data with

We share data only when needed to deliver our services: website hosting and platform providers, booking, payment and email service providers, accounting services, and, only with your agreement, our partner experts in the country relevant to your project. We do not sell your personal data. Some providers may process data outside the European Economic Area; in that case we rely on safeguards required by the GDPR, such as European Commission standard contractual clauses or adequacy decisions.

5. How long we keep data

• Enquiries and Funding Navigator results: up to 24 months from our last contact, unless we start working together.
• Client and contract data: for the duration of the engagement and then as long as required by law (accounting records: 5 years from the end of the relevant tax year) or until legal claims are time-barred.
• Newsletter data: until you unsubscribe.

6. Your rights

You have the right to access your data, correct it, delete it, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time without affecting earlier processing. You also have the right to lodge a complaint with the Polish supervisory authority, Prezes Urzędu Ochrony Danych Osobowych (UODO), ul. Stawki 2, 00-193 Warszawa, or with the authority in your country of residence.
